Outlining (multi-level bullets & numbering) in sticky notes on Windows

When planning a project, our thoughts flow in a hierarchical fashion.

Example: If we think about “Raising capital” for a business, immediately our mind rushes into various options like “Shares”, “Loans”, “Reinvestment of profits” etc. And when we think of “Loans”, we naturally think of options like “Bank loans”, “Loans from financial institutions” etc.

For this reason, mind-mapping techniques & software tools help you plan anything real fast.

It is possible to use Notezilla sticky notes app also to quickly jot down your tasks hierarchically (map exactly what’s on your mind) using the outlining feature. With this feature, your list grows in a structured fashion. Your tasks do not get mixed up. Assigning of tasks, tracking becomes simple.

Keep sticky notes always on top in Windows

Notezilla lets you keep sticky notes always on top of other applications in Windows. Basically, pinning the sticky note so that they always show up on top while working with other programs & documents.

It is so convenient to have the sticky note pinned on top so that you can refer to related notes, collect data from other websites, documents during your research etc. Rather, not having this feature leaves an incomplete feeling.

This is one of those features that we often forget to appreciate. But we miss it badly when we don’t find it in other similar sticky notes programs. Windows default Sticky Notes app is one of those. It doesn’t have the ability to stick the note on top – A feature that users naturally expect it.

Automatically launch a program at specified time

Today I want to highlight a feature of Notezilla (Windows sticky notes app) that many users may not be using it, or may not be aware of it.

When setting a reminder alarm on a sticky note in Notezilla, you can actually configure the reminder to run a particular program, launch a website or open a document automatically. You can also repeat it at specified interval.

This can be really useful if you regularly run a particular program (backup weekly etc), check some data on a website etc. You can automate this by telling Notezilla to run that program/website/document at a specific time.

Here is are the steps:

Moving sticky notes from old computer to a new computer on Windows

Here is the summary:

  1. Go to the old PC (desktop / laptop). Find out where Notezilla stores its data. You can find this from Notezilla’s Preferences (Advanced tab). To access Notezilla’s Preferences, right click on Notezilla icon and choose Preferences from the menu.

    Typically, Notezilla stores data under:
    Windows XP: C:\Documents and Settings\<user name>\Application Data\Conceptworld\Notezilla\
    Windows Vista/7/8: C:\Users\<user name>\AppData\Roaming\Conceptworld\Notezilla\

  2. Open the above mentioned data folder in Windows Explorer.
  3. Inside the data folder you will find either Notes8.db or Notes.db file. Sometimes you would just see Notes8 or Notes if you have configured your system to hide file extensions.
  4. Exit Notezilla.
  5. Copy Notes8.db or Notes.db file to a pen drive, external drive or to a network location easily accessible from your new PC.
  6. Download and install Notezilla on your new computer from our website.
  7. Run Notezilla on your new PC and find out where exactly the data is stored (Follow step 1 on new computer)
  8. Open the data folder in Windows Explorer.
  9. Exit Notezilla.
  10. Delete Notes8.db or Notes.db file from the data folder (assuming that you haven’t created any important notes after installing Notezilla on the new computer).
  11. Copy Notes8.db or Notes.db file (that we copied from the old computer) from the pen drive, external drive or network location to the data folder opened on the new computer.
  12. Run Notezilla. You will find all your sticky notes from your old computer :).

Always show icon in notification area (system tray) in Windows

After you run the sticky notes app – Notezilla, you will find that it creates an icon inside the notification area. Windows, by default hides this icon inside an expandable panel. If you click on the small triangle in the notification area (also called system tray), you will see the Notezilla icon. See picture below:

Since the only way to access Notezilla features is through this icon (except for the hotkeys), it would be more convenient to tell Windows to always show this icon so that you don’t have to use the expandable panel each time.

Here is how you would do this.

Step 1: Click on Customize link shown in the expandable panel (see picture above).

Once you choose ‘Customize’ you will see the below window allowing you to configure how each tray icon should behave. Click on below picture to see full view.

Step 2: Find Notezilla in the list, select ‘Show icon and notifications’ option for Notezilla & press OK.

You will now notice that Notezilla icon always shows up in the notification area.

Making this small change will really ease your access to Notezilla features.

Sending sticky notes to a computer vs sending to a contact in Notezilla

This post will help you understand the differences between sending sticky notes to a computer vs sending sticky notes to a contact in Notezilla.

Using Notezilla, you can send a sticky note to anyone. You can either send using computer name or using contact’s email address.

Sending a sticky note directly to a computer over LAN

In order to send a sticky note to another computer over local network (LAN), you would use the Send To->Computer option from the sticky note menu (click on top left button on a sticky note for the menu). Instead of computer name, you may also specify the IP address of the computer. Both would work.

In Notezilla, sticky notes sent over network to another computer does not use Internet. The data transfer happens over local private network. Another advantage of sending sticky note directly to a PC is that the note reaches immediately on the other computer. However, the recipient computer must be in ON state and Notezilla must be running on it to receive the sticky note.

What you need to achieve this?

Setting this up is fairly simple. Install Notezilla on every Windows PC that wishes to send & receive sticky notes. To send a sticky note, go to the sticky note, click on the left top button and choose Send To->Computer.

Sending a sticky note to a contact

On the other hand, sending sticky notes to a contact happens over the Internet. In this case, it uses Notezilla.Net cloud to transfer your sticky note. The biggest advantage here is there you can send the sticky note to anyone across the globe. It is not limited to just the local network. Plus, the other computer should not be in ON state to receive the sticky note. The recipient will receive the sticky note whenever he turns his PC ON. There are some more advantages. The recipient can read the note on his phone while on move. Also, he need not be a Notezilla user. If he does not use Notezilla, then he would receive the sticky note as an email in his mailbox.

What you need to achieve this?

Install Notezilla on every Windows PC that wishes to send & receive sticky notes. To send a sticky note, go to the sticky note, click on the left top button and choose Send To->Contact. For the first time, you would be required to create a Notezilla.Net account. Once you setup your Notezilla.Net account, add your contacts & start sending sticky notes to them. If the recipient wants to receive the sticky note right on his desktop, he would also have to keep Notezilla running on his computer with an active Notezilla.Net account. The recipient will receive the sticky note on his desktop during the next automatic sync (currently it happens every 5 minutes).

Restoring Notezilla Sticky Notes Data from Backup

  1. To know where Notezilla stores the data, go to Notezilla’s Preferences and click on the Advanced tab. To access Notezilla’s Preferences, right click on Notezilla icon and choose Preferences from the menu.
  2. On the Advanced tab you will see “Data Folder” and “Backup Folder”. These are the locations where Notezilla stores is data and keeps 5 backup copies of its sticky notes data.
  3. Copy the folder locations from Advanced tab & open them in Windows Explorer.
  4. Exit Notezilla, copy the backup file (as shown in the video) to the main data folder and re-run Notezilla.

Similar steps you can follow when you want to move Notezilla‘s sticky notes data from one computer to another.

New update – Notezilla 8.0.19

Today we released Notezilla 8.0.19 with some useful features. This post will cover most important features. You can read the revision history for list of all features added & bugs fixed.

This update is free for all registered users of Notezilla 8.0.

Here is what’s added to the new update.

Sticky notes are automatically re-arranged on change of monitor display resolution

Notezilla 8.0 always remembered the position of sticky notes based on the display resolution. When the display resolution was changed, you would be required to restart Notezilla so that the desktop sticky notes re-position based on the new display resolution. From this update onwards, it is not required to restart Notezilla. It will automatically detect change in display resolution and rearrange sticky notes accordingly.

So now, if you dock your laptop to a bigger display, you will see your sticky notes automatically arranged for your bigger display.

Directly create sticky notes inside a specific memoboard instead of desktop

From this update onwards, you can create all sticky notes directly inside a memoboard instead of Windows desktop. This way you can avoid too many notes on the desktop. Once you create them inside the memoboard you can selectively stick them to desktop if you wish.

Stick incoming sticky notes directly to the desktop

When someone sends you a sticky note over network or Internet, you can have it stick directly to the desktop and also make it stay on top of other apps.

Show “Created” date on top of sticky notes instead of “Modified” date

You can now show note created date instead of note modified date next to the title of the sticky note.

Attach a sticky note to similar websites/docs/apps

This feature already existed in earlier versions. But in this update, we have made it more apparent. We have added an option to ‘Edit’ the title of the window when attaching a sticky note to any website, document or program. If you add an asterisk (*) at the end of the window title, example: Project Mars*, then the sticky note will appear on all windows having title beginning with ‘Project Mars’. Similarly, you can also add an asterisk (*) at the beginning of the window title, example: *Project Mars. This will match all windows having title ending with ‘Project Mars’. The sticky note will show up on all such windows.

Sticky notes created from phone can appear on your Windows desktop now

With Notezilla 8, you know that the sticky notes can be synced between your Windows desktop & the Notezilla.Net cloud. You can then access your notes from any phone (Android, iPhone, iPad, Windows etc) using the Notezilla.Net web app. Moreover, sticky notes can be synced between your computers too.

On sync, new notes created from phone are brought back to your desktop version of Notezilla. By default, they are created inside the Home memoboard.

What’s newly added now is that when creating a sticky note from the phone, you can ensure that it sticks to your Windows desktop also (not just the Home memoboard) during the next sync. So basically when you get back to your PC, you will see the new notes (created from phone) right on your Windows desktop. This will help in reminding you of your stuff.

Copying only the folder tree structure without the files using Copywhiz

As you know, Copywhiz gives you more control over file copying operations in Windows. You can selectively copy only the files that you want, such as copying only new or modified/changed files, copying files from several folders except for certain files, copying files by type, date, size etc.

Here a new feature that we discovered today in Copywhiz. Thanks to our customer Garrett Goyette :).

Copying just the folder tree structure without the files inside those folders in 3 simple steps.

Here are the simple steps to achieve this.

STEP 1:

Using Copywhiz, select the folders that you want to copy. To do this, right click on one or more folders in Windows explorer and choose Copywhiz->Copy option.

STEP 2:

Go to the destination folder, right click inside the folder and choose Copywhiz->Paste Special->Paste only files of specific type

STEP 3:

Type a name of the file (under the option ‘Include only files of following type:’) that you are sure does not exist inside the selected folders. Example: ‘some-file-name-that-does-not-exist.txt’. Then press OK.

Copywhiz will now successfully create the complete directory tree structure without any files inside them.
